Position Summary
The Real Estate Coordinator serves as a central point of coordination for the department, helping ensure leaders and teams remain organized, aligned and focused on execution.
This is on onsite role in Nashville, TN.
Responsibilities
- Provide comprehensive coordination and administrative support to Real Estate leadership, including calendar management, meeting coordination, scheduling, travel arrangements and preparation for key internal and external meetings.
- Coordinate departmental workflows, priorities and key deliverables across Real Estate Development, Asset Management and related functions, helping ensure deadlines, follow-ups and action items are effectively managed.
- Coordinate the preparation, organization and distribution of leadership reporting, presentations, meeting materials and executive-level communications.
- Maintain department records, files, organizational materials, contact information and other documentation to support efficient access to critical real estate information.
- Support coordination of meetings and interactions with landlords, developers, brokers, attorneys, consultants and other external real estate partners, including scheduling, materials and follow-up activities.
- Assist with departmental planning, budgeting, invoice and expense coordination, purchase orders and other administrative processes supporting the Real Estate organization. Coordinate onboarding and administrative setup for new Real Estate teammates, including systems access, equipment, meetings, training schedules and departmental orientation.
- Support department meetings, leadership sessions, conferences, team events and other Real Estate activities, including logistics, materials and communications.
- Serve as a central resource for information flow across the Real Estate organization, proactively coordinating requests, resolving administrative issues and helping leaders and teams operate efficiently.
- Perform additional coordination and administrative responsibilities as needed to support the Real Estate organization and the continued growth and management of the retail portfolio.
Minimum Qualifications
- Bachelor’s degree preferred or equivalent combination of education and relevant professional experience.
- 2-3 years of administrative, coordination, office management or related professional experience, preferably supporting senior leaders or a complex corporate function.
- Exceptional organizational skills with demonstrated ability to manage multiple priorities, deadlines and stakeholders simultaneously.
- Strong written and verbal communication skills with the ability to interact professionally with senior executives and internal and external business partners.
- Demonstrated discretion and sound judgment when handling confidential or sensitive business information.
- Highly proactive, detail-oriented and resourceful, with the ability to anticipate needs, independently manage priorities and operate effectively in a fast-paced environment.
Nice to Have:
- Experience supporting Real Estate, Property Management, Development, Construction, Asset Management or a similarly transaction-intensive environment preferred.
- Notary certification or willingness to obtain notary
- Real Estate/Paralegal/Law office experience
