Position Summary
• Entering data or performing word processing work in support of local office or function-specific business processes
• Coordinating the logistics for office events
• Coordinating the logistics for office moves (e.g., moving office furniture, packing files, etc.)
• Providing back-up support for reception/switchboard or the mailroom
• Operating input devices to enter data and codes into digital files, forms, and databases
• Maintaining logs of data entered •Monitoring data entry applications screens for errors
• May transcribe or code paper-based source data into format required for data entry
Responsibilities
Daily:
· Validating and approving invoices through SAP Workflow
· Complete daily reports to include total hours worked, overtime worked, waste, and production numbers
· Utilize Intelex for safety incidents such as OSHA recordables, first aids, property damages and/or shock sensors
· General office task such dispersing interdepartmental and external mail to dept
· Archive teammate documents such as RTW, Jury Duty, CCC, etc.
· Update Performance Evaluation Tracker and appraisal matrix
· Vendor management: Cintas, A&A, Newbold, Grainger, PPM, etc.
Weekly:
· Order and maintain office supplies through appropriate vendors
· Compile and analyze data to create and maintain reports and graphs for attendance, headcount, overtime, etc.
· Upload documents such as one-point lessons, department forms, standards to the appropriate location
· Manage Cintas invoices and assist with replacing and repairing of uniforms.
· Data entry for CL Control Points, ETO tracker
· Work with ABM to distribute personal cards to teammates for birthdays, sympathy, get-well cards, etc.
· Complete the headcount and overtime report
· Educate team members on use of personal computer and purchasing procedures. Provide guidance on company policy. Coordinate the distribution and tracking of One Point Lessons.
· Perform various clerical duties including mail, phones and correspondences. Review and aid in processing payroll related issues on Monday and after each crew change.
· Maintain Standard Practice, document control and business plan
· Monitor, maintain and assist in the development of budget information.
· Interact with Purchasing, Accounting, HR and other operation departments.
· Coordinate interdepartmental and departmental oriented meetings.
· Update Process Control Plan and Working Standards.
· Develop and maintain various tracking systems (One-point Lessons, certification status, organizational charts, HR coordinator charts, etc.).
· Facilitate the flow of information and goal status to various support personnel and production team members.
Monthly:
· Update production charts
· Update the current year's budget spreadsheet with actual numbers
· Order celebration items for teammate service anniversary
· Update ABM report with any safety incidents, budget info, total plant hours
· Update SQN Indicator Charts, Scorecard
· Manage area office communication boards
· Ensure production tickets are delivered to warehouse for storage
Annual:
· Review budget and targets with ABM
· Communicate new coordinators and update/request necessary access (Outlook, doc. access, etc.)
· Work with HR to assist team members with vacation sell back, United Way, survey's, etc.
Misc:
· Teammate termination- deliver personnel and training files to HR, ensure locker is cleaned out, ensure uniforms are returned to vendor
· New hire- enter service request, assign Teammates to crew and in Kronos, create packets, update all spreadsheets, set up TM's security profile
· Remove/ add teammates to area Outlook distribution list and area specific spreadsheets.
· Post area/ plant announcements
· Setup vendor access for plant visit to dept.
System/Programs used: Microsoft Teams, Outlook, Workday, Kronos, Power BI, SAP, Kronos, Intelex, AIK-Web, SMS, Safety IIP
Minimum Qualifications
Required: 2 years of administrative/clerical experience with proficient computer skills
Preferred: Associate's degree in business or related field and 1 year of clerical experience with proficient computer skills.
